How to assign people to users
Assigning people defines who a superuser follows: hours, invites, cost, and billing extras only apply to that slice. Without an assignment, the extra permission exists on the role and has no one to apply to.
This is configured on the superuser record (the person who receives the slice), People tab — not on each collaborator’s record.
💡 The screen warns: only the administrator changes assignments. The superuser does not give people to themselves.
Do not confuse this with the Manager field on the Main tab (who approves the week) or with project member/manager. Those are three different slices. The extras map is in user permissions.
Where to open it

- Users menu.
- Open the record of whoever will manage the team (almost always a superuser).
- People tab.
Newly invited user: save (or send the invitation) first. The tab requires a saved record — “Save the user for the first time, then assign people.”
What the assignment unlocks
With people (or teams) on the list, that superuser’s extras now have a target:
- see those people’s hours in reports;
- log and edit their hours, if the extra is on;
- invite and edit those records, if the extra is on;
- see or edit labor cost per hour, if the extra is on;
- see billing in reports for that slice, if the extra is on.
Approving the week does not come from here alone: the person still needs that superuser (or administrator) as Manager on the Main tab.
An administrator does not need a list: they already see the entire account.
Assign people or teams
Dropdown to assign people or teams on the People tab
At the top: Assign people or teams. It opens two tabs:
- Assign people — one by one. Filter by name. Assign on the row. The status goes through “Assigning…” and “Assigned”.
- Assign teams — the whole team enters the slice. The filter and the button are the same. Useful when the squad is already in teams.
Assign all people puts everyone who was still missing on the list. In the confirmation you can check Also assign future new users — from then on, a new invitation lands automatically on that superuser.
On the list, each person or team becomes a card. Remove assignment removes only that item.
Bulk actions
Actions menu:
- Clear all assignments — clears people and teams from that superuser. Asks for confirmation. Their extras stay without a target until you assign again.
If automatic assignment of new users is on, a notice at the top says the next invitations will be added on their own. Disable stops only the automatic part; whoever is already on the list stays.
Automatic assignment
Two ways to turn it on:
- in the assign all people confirmation, the checkbox for future users;
- or the flow to enable automatic assignment of new users.
Use it when that superuser is the coordinator “of everyone who joins”. Do not use it on two superusers at the same time without an agreement: each new invitation lands on both, and each one’s reports swell.
Turning it off does not remove whoever was already assigned.
Check
- Still on the People tab, the list should show the names (or the teams).
- Ask the superuser to open the detailed report or the capacity dashboard: they see these people, not the rest of the account.
- If they “cannot see the team”, the assignment is missing here — or the extra to see other people’s hours is off on the Permissions tab.
- If they see the hours but do not approve the week, the Manager field is missing on each collaborator’s record.
The superuser checks their own slice in Profile and preferences → Permissions and assignments.
