Detailed report
The Detailed report is the list of time entries: one row per record. Use it to review what landed in the period, send the detail to the client, and mark hours as billed.
It does not replace the timesheet (logging the week) or the dynamic summary (grouped totals). Here the object is the record.
Menu Reports > Detailed. Screen title: Detailed report.
💡 Financial columns (cost, billable, billed) appear only if the plan and the user’s permission allow them. The rest of the list (hours, project, description) is available to anyone who already sees those time entries.
How to read the screen
Detailed report results
On the left, the filters. In the center, the table. At the top: Actions, Export, and Columns.
The time-entry date sits in the first column (sortable). Each row is one log. Total and subtotal (by day, if the sort groups rows) can be turned on under Columns.
Click the hour total of a slice to open the time entries behind that number.
Filters
The same filters as the hours list. Check what you need; anything you leave unchecked does not restrict the result.
Quick filters
- Only my records — only hours for your user.
- Records on my projects — every time entry on projects you belong to.
- All records — whatever the account permission lets you see.
Period
- Execution date — the day of the work. Ranges: daily, weekly, biweekly, monthly, 4 / 5 / 6 / 8 weeks, semiannual, annual, last 7 / 14 / 30 days, today and yesterday, custom (from / to), all time.
- Creation date — when the record was saved (it can be a different day from execution).
Project, task, and client
- Project status — active, inactive, or all.
- Projects — one or several; option only my projects.
- Tasks — active or archived; records without a task.
- Clients — active or archived; projects without a client.
People
- Users — active or archived; include archived users (by default, active users are included and, in the period, archived users who have hours).
- Manager — who manages the person; users without a manager.
- Teams.
Text and billing
- Description — search in the text; match all words; match exact description; records without a description.
- Billed — both, yes, or no.
Filter by role (permission) and capacity audit are not in this report. Those slices live in the people capacity dashboard.
Custom fields
If the account uses custom fields, each active field becomes a filter (list, number, or text, depending on the type), including “records without this field”.
Columns
Under Columns, turn on what the table shows. Custom fields appear at the end of the list, with the name the account registered.
Time
- Hours — duration of the time entry.
- Time — start and end (when the record has a time range).
- Regular hours and Overtime — appear when the account uses overtime on time entries.
Where and who
- User — who logged the time.
- Project.
- Client — the project’s client; empty if the project has no client.
- Task — the work type from the catalog.
- Activity — the project card, if the time entry is linked to one.
- Manager — project manager.
- Description — the time-entry text.
Financial (plan and permission)
- Cost — internal cost of that hour.
- Billable — billing value of the hour (if the project/task is billable).
- Billed — whether that record has already been marked as billed.
Audit
- Created at / Created by — when and who saved the record.
- Updated at / Updated by — last edit.
In the same columns window: total and subtotal visible in the table.
Actions
The Actions menu centralizes billing for the list:
- Mark as billed — the selected rows or, if nothing is selected, the filtered set (“all”).
- Mark as not billed — the inverse.
Only billable hours change status, even if the selection includes a non-billable hour. The flow is detailed in set and manage billed hours.
Export
On the detailed report the Export menu offers:
- Simplified CSV spreadsheet — a
.csvfile with no cell formatting. You can choose all columns or only the columns visible on screen. Separator and hour format come from preferences. - PDF print —
.pdfwith an automatic layout, to print or send. Uses only the visible columns (at most 9). Logo and header: export to PDF. - Excel print —
.xlsxin the same spirit as the PDF (layout for printing), still editable in Excel.
A long list may go to email in the background (“download ready” or a processing notice).
The detailed report does not have the “Formatted Excel spreadsheet” from the dynamic summary — that one, with every column ready to pivot, is on the summary.
When to use
Use it for the detail that goes on the invoice, to find a wrong time entry, and to mark billed in bulk.
Do not use it for “how much was it per client this quarter with margin”. That is the dynamic summary.
