Why can't I edit a time entry?

In Rabbiit, there can be several reasons why you cannot edit a time entry. This article explains the possible causes and how to resolve each one.

1. Billed time entry

What is a billed time entry?

A billed time entry is one that was marked as billed, indicating that the hours were charged or are ready for billing. Once an entry is marked as billed, it becomes locked for editing to keep financial data integrity.

How to identify billed entries?

You can identify billed entries by the lock icon next to the entry and by the Billed status in the corresponding column on the Detailed report.

How to resolve it?

To edit a billed entry, you first need to revert the status to Not billed. Select the desired entry, click Actions, and choose Mark selected as not billed. After reverting the status, you can edit the entry as usual.

Important

Entries marked as billed cannot be edited by anyone, not even administrators. Only reverting the status to Not billed will allow edits.

2. Date lock

Date lock is a setting that prevents creating or editing time entries outside a specified date range. This setting is useful to make sure time entries are entered in a timely and accurate way.

How to identify a date lock?

If a time entry is locked because of a date lock, you will see a lock message when you try to edit it. In addition, a lock icon next to the entry will indicate that it is locked.

How to resolve it?

To resolve this, you need to adjust the date-lock settings. Go to Settings > Date lock and adjust the permissions as needed.

Important

Depending on the profile and the lock configuration, some profiles can edit entries locked by date. For example, if the date lock applies only to Regular user, the Administrator will be able to edit.

3. User permissions

What are user permissions?

User permissions determine what each profile can do inside Rabbiit. Depending on your profile (Regular user, Superuser, Administrator), you may or may not have permission to edit other users’ time entries.

How to identify permission problems?

If you do not have permission to edit a time entry, you will not see the edit option or you will see the option disabled.

How to resolve it?

To resolve permission problems, an Administrator needs to adjust your permissions. Only Administrators can grant or revoke edit permissions. Check with your account administrator if you need additional permission.
