Activity list across all projects

Anyone who works across several projects ends up opening them one by one just to see what is overdue or what is due this week. The home-page Activity list brings together the cards from all projects in one place — without entering each board.

The activity still lives in the project. Here you view and filter the set. To create a new card, the path is the project: how to create an activity.

Where to find it

The item is called Activity list. It sits just below Time tracking. If the account uses hour approvals and you approve, the Time approval item may appear in the middle. What matters: the global list is in that first segment, not in the project list further down.

The first click opens Assigned to me. The submenu with the other segments appears below the item. Click Activity list again if the submenu is not visible yet.

The segments

  • Assigned to me — open items where you are the assignee. The screen is called Pending assigned to me.
  • Soon — with a due date in the next 7 days, still open. Title: Activities for the next 7 days.
  • Overdue — due date already passed, still open.
  • All — All activities of the projects you are a member of.
  • Admin overview (administrators only; under Show more) — all system activities, including projects you are not a member of.
  • Trash (under Show more) — deleted. They stay 30 days; you can restore them.

Assigned to me, Soon, and Overdue already come with only what is open. In All and Admin overview, Options lets you Hide completed and Expand sub-activities.

You can export the list (Excel or PDF).

Why use this list

The project board is where you execute and organize the deliverable. This list is where you do not lose the set:

  • what is in your name, on any project;
  • what is due in the next 7 days;
  • what has already passed the due date;
  • (administrator) what exists in the whole account.

You open the card from here — the same detail of title, due date, comment, and history. The path shows which project it belongs to.

What this list does not do

It does not replace Kanban or the project Activities tab. There you create a list, move a column, and add an activity. Here the empty-state message is this: Create activities within your projects and view them here.
