How to create an activity

An activity is the work of this project: the card in the list or on the kanban. It is not the catalog task (Consulting, Development). The task classifies the hour; the activity organizes the deliverable.

This article covers how to create the card and what lives inside it — the same detail that opens when you click the activity.

💡 Who can create and edit depends on the project activity permission. The administrator and the project manager always can. A member can only if the project rule allows it.

How to create

  1. Open the project.
  2. Go to Activities (list) or Kanban.
  3. Click Add activity. The card is created at the top of the first list (if there is no list yet, Rabbiit creates one — the default name is General activities).
  4. Type the title on the line. Use a name the team will still understand in a month (“Sign off on company X’s website”, not “ok”).

You do not create an activity from the global list on the home page. It lives inside the project. The global list is for reviewing the set (overdue, assigned to you, all projects).

Open the activity

In the list, the name is edited on the row. Everything else — list, assignee, due date, estimate, description, subtasks, attachments, comments, and history — lives in the activity modal.

To open it:

  • click the row (outside the title, if you are editing the name);
  • or the row ⋮ menu and Open details.

On the kanban, click the card (or the card menu → Open details).

The path (where you are)

At the top of the detail, above the title:

  • The project name — click to go back to that project’s activity list.
  • If the activity is a child of another, the path of parent activities (ancestor) appears: project → parent activity → this one.

Use it so you do not lose context when the team works with subactivities.

Title

The title is the large field at the top (the card’s h1). Click and edit; when you leave the field, Rabbiit saves.

It is the name that appears in the list, on the kanban, and in the indicators. Without a clear title, the rest of the card (estimate, attachment, comment) is left orphaned.

Complete

To the left of the title: Mark as complete (or Complete, if it is already done).

Marking does not delete the card. It removes it from the open queue (the list has Hide completed). You can unmark it if the work came back.

Log hours and stopwatch

In the header, next to complete — only after the activity already has a project and has been saved:

  • Log time — opens the manual time entry already linked to this activity. Use it to record what already happened.
  • Start stopwatch — starts counting on this activity. While it runs, the button shows the time and turns into pause.

This is the same time entry as elsewhere in the account, started from inside the card. Field details are in how to log hours.

List

List field. The activity lives in a column (a list in the list view or a kanban column).

Click to change: search by name, Select. Anyone who cannot change the list only sees the name.

Moving lists does not change the project — only the grouping inside it.

Assigned to

Assigned to field. It starts as Empty.

Click to choose a project member (search by name or team). You can Assign to yourself or Clear.

Only people already on the project can be assigned. Assigning is not a substitute for being a project member.

Due date

Due date field. Shortcuts in the picker: today, tomorrow, next week, or no due date.

An overdue activity shows up in the list segments (Overdue activities, next 7 days). Who can change the due date (and the estimate) is the Modify planning permission on that project.

Estimate, logged hours, and progress

Three fields that work together:

  • Estimate — planned hours for this card. Click, enter in 00:00 format, or Clear. If there are subactivities, the dropdown shows Total with subtasks (sum of the children + this card). The math is explained in hour estimates on activities.
  • Logged hours — what has already been logged on this card. If there are hours, the number is clickable and opens the entries. Empty if nobody has logged yet.
  • Progress — only appears when there is an estimate. The bar compares logged hours with the plan.

Estimate is planned hours on the card, not the project’s money budget.

Description

Description field, below the data. Long text for the deliverable: scope, definition of done, what the client asked for.

It saves when you leave the field. Do not use the description in place of a comment: the description is the stable agreement; the comment is the conversation that changes.

Subtasks

Subtasks block. Steps inside this card, on the same screen.

Create the row, expand or collapse. The walkthrough is in how to create subactivities. Do not turn each step into a sibling activity just to make it appear on the board.

Attachments

Attachments block. Drag the file or choose your files (up to 50 MB each). You can download, copy, rename, and delete.

The brief, the screenshot, and the client spreadsheet stay on the card — not in email. The list and kanban show that the card already has an attachment. Details in attachments and comments on activities.

Comments (right-hand tab)

In the detail, the right column has two tabs. The first is Comments.

  • Write and send with Comment.
  • Use @ to mention a project member.
  • You can edit, delete, pin / unpin, and attach a file on the comment itself.

Commenting requires the Comment action in the project permission. A comment does not replace time entry or submitting the week.

History (right-hand tab)

The second tab is History. A timeline of what happened on this card, for example:

  • creation, deletion, and restoration;
  • completion (or reopening);
  • changes to name, assignee, due date, estimate, description, list, or order;
  • attachments and comments.

You do not edit the history. It is there to see who changed what, without asking in chat.

If the activity was deleted

Card in the trash: a banner at the top with the date and who deleted it. Restore brings the card back (for anyone with permission). Deleted activities stay in the trash for 30 days; then they are gone for good.

When to create — and when not to

Create for a deliverable of this project (“sign off on the website”, “send the proposal”).

Do not create an activity for each hour type that repeats across every project. That is a task.

Do not create three parent cards for the steps of the same deliverable — use subactivities.
