How to add tasks to a project

A task is the account’s type of work: Consulting, Development, Meeting. It repeats across projects and classifies the hour in the report and in billing.

It is not an activity. An activity is the card on that project (due date, owner, estimate). A task is what you pick on the time entry.

💡 Who adds and removes a task from the project is whoever edits the project. Whoever builds the account catalog needs permission to create and edit tasks.

How to add

  1. Open the project.
  2. Go to the Tasks tab.
  3. Click Add tasks to project.
  4. In the Add tasks modal, search the catalog.
  5. Click Add on the task — or Add all / Add selected (the screen confirms the count).
  6. Finish.

The task does not exist on the account yet? Use Create task. You can check Auto-add new task to project.

If the project list is empty, the screen reminds you: a task categorizes the work; the to-do list with due dates lives on the Activities tab.

Billable on this project

If the project is Billable by hour, each task on the tab has a $. You can set Billable or Not billable on this project, even if the catalog default is the other way.

Changing that recalculates billing for hours on that task — except hours already billed. How it fits the project rate is in set billable hours.

Not billable project: the $ stays grey. There is nothing to toggle per task.

Archive or remove from the project

In the task menu:

  • Archive task — leaves the active list; hours that already used that task stay in history.
  • Reactivate task
  • Delete task from project — unlinks it from this project. It does not delete the type from the account catalog.

Required task field

In Edit project (Main tab) there is Required task field. When on, a time entry on this project will not save without a task.

Use it when the report by work type needs to close cleanly. Do not turn it on if the team is still just getting into the rhythm and classification can wait.
