7 best Harvest alternatives in 2026

Looking for a Harvest alternative usually means making one of three decisions: regain predictability after the new seat-plus-usage billing model, expand beyond a restricted free tier, or move the center of operations from invoicing to project control. These seven options address different reasons to leave.

Method: why the team is leaving Harvest

The selection starts with three exit reasons: total cost and predictability, free-tier limits, and a need to manage projects beyond invoicing. For each alternative, we checked official documentation for timesheets, approvals, budgets, labor cost, margin, invoicing, privacy, and the monthly full-plan price. The comparison publishes only conclusions verified by the cited sources.

Invoicing has its own weight because leaving Harvest can change the finance workflow. A seat price is not treated as the final cost where minimums or usage charges apply. We did not claim hands-on testing; scores summarize the dated sources on this page.

Why Harvest's new pricing is a reason to consider switching

Harvest still advertises a per-seat price, but that amount can now be only the base. On Teams and Enterprise, Flex adds charges for usage above the included allowance. It uses the previous billing period's activity across projects, clients, tasks, and invoicing; projects, clients, and tasks count only when time was tracked against them during that period. For new accounts, this usage component normally starts at the second paid renewal.

Unlimited removes the monthly variation but adds a fixed usage fee on top of the seats. The problem for a public comparison is that the [Harvest calculator](https://www.getharvest.com/pricing-calculator) multiplies seats only: it warns that additional usage is billed, but does not display the allowances, overage bands, or fixed Unlimited fee. According to [Harvest's own Help Center](https://support.getharvest.com/hc/en-us/articles/31447072608397-Information-about-pricing-plans), customers must open Settings → Billing → My usage billing or simulate changes inside their account to see the applicable total.

This means the bill can rise without the team adding seats. Harvest's official documentation gives an example where an initial US$44 seats-only charge becomes US$404 when usage is added at renewal. That is not a forecast for every account, but it explains why agencies with many projects, clients, tasks, or invoices may find the total less predictable and evaluate alternatives.

When invoicing can stay in finance

Rabbiit structures time → approved week → cost → margin. It also marks hours as billed and exports reports, but does not issue invoices. Productive is the option for teams that want a broader PSA layer; the trade-off is accepting more depth and implementation in exchange for centralization.

When billing must stay with time

Paymo combines tasks and billing; Productive connects projects, resources, budgets, profitability, and billing in a PSA; Time Doctor adds attendance and productivity through monitoring. They solve different exit reasons and may require more cost or operational change. Staying on Harvest is also rational when its collection workflow already works.

When price or timer adoption dominates

Clockify has the broadest free entry among options with a published people limit on this page. Toggl Track favors low-friction entry. Compare the tier that actually includes approval, labor cost, and capacity rather than the lowest advertised price.

FAQ

Which Harvest alternative has the lowest full-plan price?

In this snapshot, Clockify Pro is US$9.99, Rabbiit Ultimate starts at US$10 or R$49, Productive Professional is US$28.80, and Time Doctor Premium is US$20 per user/month. With Harvest, the seat price alone does not calculate Flex or Unlimited; minimums, usage, and included capabilities affect the total.

How do you calculate Harvest's real price with usage billing?

With Flex, add the seat total to charges for prior-period usage above the allowance. With Unlimited, add the seats to the fixed usage fee offered for the account. Because the public calculator does not disclose those rates, verify Settings → Billing → My usage billing and Simulate usage changes before renewal.

How should a Harvest migration be planned?

Set a cutover date and export projects, people, and time through CSV or API. Keep invoice and payment history in Harvest or accounting. With Rabbiit, CSV can be used for reconciliation and its API can read and write projects and entries; do not assume a complete one-click import.

Does Rabbiit invoice like Harvest?

No. It calculates amounts, marks time as billed, and exports data. Invoice issuing and collection remain in the finance system.

Which options can capture screens?

TimeCamp and Time Doctor offer monitoring and configurable screenshots on specific plans. Rabbiit, Toggl Track, Productive, and Paymo do not use screen capture in this comparison.
